1. Service Description

Quill's Chronicles is a web-based platform that helps tabletop roleplaying game (TTRPG) groups record, organize, and share their campaign stories. The service processes audio recordings and text into structured session summaries, wiki entries, and narrative content using artificial intelligence.

2. Account & Eligibility

• You must be at least 13 years of age to use the service.
• You are responsible for maintaining the security of your account credentials.
• One person may not maintain more than one account.
• You agree to provide accurate information during registration.

3. Pages & Billing

• Quill's Chronicles is billed per session at a flat rate: a session costs a fixed number of Pages no matter how long it ran, with only very long sessions costing slightly more. Pages are the internal unit used for sessions and smaller jobs such as reprocessing and imports.
• Every new account's first 3 sessions are free.
• Monthly plans start at $12/month (which includes a $2 base) and grant a set number of Pages each month. Unused monthly Pages roll over, up to double your plan's monthly allotment.
• Page packs can be purchased at any time. Pack Pages never expire.
• An active subscription is required to process new work; viewing your existing campaigns remains available without one.
• Subscriptions renew automatically. You may cancel at any time; access continues until the end of the current billing period, and your pack Pages remain yours.
• Refunds are handled on a case-by-case basis. Contact us if you believe you were charged in error.
• All payments are processed securely through Stripe. We do not store your payment card details.

4. Acceptable Use

You agree not to:

• Upload content that violates any law or infringes on others' rights.
• Use the service to harass, abuse, or threaten others.
• Attempt to gain unauthorized access to other users' data or accounts.
• Use automated tools to scrape, crawl, or overload the service.
• Resell or redistribute access to the service without authorization.

5. Your Content

• You retain ownership of all content you upload (audio, text, notes).
• You grant us a limited license to process, store, and display your content as needed to provide the service.
• AI-generated summaries, wiki entries, and narratives derived from your content are provided for your use as part of the service.
• We do not use your content to train AI models.
• You are responsible for ensuring you have the right to upload any content you submit.

6. Service Availability

• We strive for high availability but do not guarantee uninterrupted service.
• We may perform maintenance with reasonable notice when possible.
• We reserve the right to modify or discontinue features with notice.
• Processing times for AI features depend on usage volume and are estimates, not guarantees.

7. Termination

• You may delete your account at any time.
• We may suspend or terminate accounts that violate these terms.
• Upon termination, your data will be retained for 30 days to allow recovery, then permanently deleted.
• Unused purchased Pages are non-refundable upon voluntary termination.

8. Limitation of Liability

Quill's Chronicles is provided "as is" without warranty of any kind. To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, use, or profits arising from your use of the service. Our total liability shall not exceed the amount you have paid us in the 12 months preceding the claim.

9. Governing Law

These terms are governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict of law provisions.

10. Dispute Resolution

• Any dispute arising from these terms or your use of the service shall be resolved through binding arbitration administered in the State of Delaware.
• You agree to waive the right to participate in class action lawsuits or class-wide arbitration.
• Notwithstanding the above, either party may seek relief in small claims court for disputes within that court's jurisdiction.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and authentication credentials (managed by Clerk). This is necessary to provide you with access to the service.

Content You Provide

• Audio recordings of game sessions
• Text transcripts and notes
• World, campaign, and entity descriptions
• Chat messages sent via Discord bot or MCP integrations

Automatically Collected

• Basic usage data (feature usage, error logs) for service improvement
• Session processing metadata (duration, page cost, mode selection)

2. How We Use Your Information

• To process your session recordings into summaries, entities, and narratives
• To maintain your campaign wiki and knowledge graph
• To manage your account, subscription, and Page balance
• To respond to Discord bot queries and MCP tool requests
• To send transactional emails (account, billing, processing notifications)
• To improve the service and fix bugs

3. Third-Party Service Providers

We share data with the following providers solely to operate the service. Each provider processes data under their own privacy policy and our data processing agreements. Our AI model provider operates under a zero-data-retention policy and does not retain your content. Providers that store data on our behalf — our cloud storage and graph database — hold it solely to operate the service.

4. MCP Integration

Quill's Chronicles supports the Model Context Protocol (MCP), allowing you to connect AI clients such as Claude, Cursor, or other MCP-compatible tools to your campaign data.

• When you authorize an MCP connection, the AI client can access all non-payment information within the scope you authorize (your worlds and campaigns).
• Quill does not see or store your MCP queries. Your prompts and conversations stay between you and your AI provider.
• Most MCP tools are read-only. A limited set of write tools lets campaign owners and co-DMs create or edit campaign data from a connected client, and every change is previewed for your explicit confirmation before it is applied.
• You can revoke MCP access at any time from your account settings.

5. Discord Bot Integration

• The Discord bot is entirely optional. Users choose whether to add it to their server.
• Like all Discord bots, the bot is scoped to the server it's added to and can only see messages in channels it has access to.
• Chat queries sent to the bot are processed by our AI model provider to generate responses from your campaign data.
• The bot does not store message history beyond what is needed for active conversation context (conversations expire after 30 minutes of inactivity).

6. Cookies & Tracking

• We do not use tracking cookies or third-party analytics trackers.
• Authentication cookies are set by Clerk for session management only. These are strictly necessary for the service to function and cannot be opted out of while using the service.
• We do not run any advertising or retargeting scripts.

7. Data Security

• All data is transmitted over HTTPS/TLS encryption.
• Audio files are stored in private Google Cloud Storage buckets with access controls.
• Authentication is managed by Clerk with industry-standard security practices.
• We regularly review our security practices and third-party provider configurations.

8. Data Retention & Deletion

• Your data is retained as long as your account is active.
• You may request deletion of specific content or your entire account at any time.
• Upon account deletion, all associated data is permanently removed within 30 days.
• Backup copies may persist in encrypted backups for up to 90 days before being purged.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Export your data in a portable format
• Object to certain processing of your data

10. Children's Privacy

Quill's Chronicles is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us so we can take appropriate action.
